Finance Payroll/Accounting Support Specialist
Position Summary:
This full-time position within the Village of River Grove Finance Department oversees the day to day operations of the Village’s payroll function. The position also assists the finance management staff in a variety of accounting-related activities including accounts payable, accounts receivable and general accounting tasks. It requires a dedicated, detail-oriented person with excellent mathematical and good communication skills. This person will have a strong working knowledge of the overall Village organization and a strong competency with numbers and analysis. This position requires the ability to work with both internal and external customers in a highly professional manner.
Essential Duties and Responsibilities:
This position is the administrator of the payroll system. Critical thinking, knowledge and accuracy is imperative for this role. Position will assist other departmental personnel in the maintenance of timekeeping and employee records. The position is responsible for the preparation of the Village’s bi-weekly and monthly payrolls and of related critical, required reports to the federal and state governments as well as internal reports relating to pension contributions and budget. Position will assist in the preparation of payroll and related bank reconciliations and assist in the preparation of payroll-related reports for employee benefits and assist the Human Resources Director in the maintenance of the Village’s employee benefits including ensuring the accuracy of employee participation in the various benefit systems. Reconcile and pay IMRF deposits and assist the Human Resources Director relating to IMRF matter and assist in the maintenance of the Village’s 457, FSA and Post-Employment health savings account) (HSA). Support and assist, when required for accounts payable, accounts receivable, utility billing and cashiering functions of the department. Assist the Comptroller and Senior Finance Manager relating to project development and oversight. Prepare invoices for outside security details. Attend meetings as necessary. Present a professional demeanor and be a reliable and punctual employee. Must be able to read and write in English, and fluency in Spanish and/or Polish helpful.
Must be strong with Windows and MS Office, especially EXCEL and WORD. Familiarity with PayCom Payroll Software is a plus. Familiarity with LOCIS and other computer knowledge is helpful. Work hours include Monday-Friday, 8:00 AM to 4:00 PM and nights and weekends as required by job responsibilities and work load. Respond to emails and voicemail regarding payroll and provide resolution as required.
Qualifications:
High School Degree required. Bachelor’s degree or higher in Finance or related field a plus. 2 years or more experience in payroll-related operations. Strong analytical and problem-solving skills. Knowledge of English usage, spelling, grammar and punctuation principals. Knowledge of modern office methods, practices, procedures and computer equipment. Must have the ability to ensure exemplary customer service to internal and external customers. Must embrace, support and promote the Village’s core values, beliefs and culture. The ability to work courteously with Village employees in person and on the phone. Communicate clearly and concisely both verbally and in writing. Work Independently in the absence of supervision. Ability to work overtime and weekends as operations require.
Physical Requirements:
Sitting, standing, walking and use of hands as needed. Should be able to lift and or move up to 25 pounds. Specific vision abilities required include close, distance, color, peripheral, as well as depth perception and the ability to adjust focus.
Compensation:
Annual Beginning Salary of $33,150 - $39,000 depending on qualifications and experience. Benefits including health, life and dental insurance and required participation in the Illinois Municipal Retirement Fund (IMRF).
