JOB SUMMARY

Under the direction of the Associate Dean for Academic Affairs, coordinates and manages the day-to-day administrative activities and provides program direction to the Office of Student Academic Services of the University of Connecticut School of Social Work.

DUTIES AND RESPONSIBILITIES

  1. Management of academic program operations: admissions, enrollment data collection and reporting, records management, orientation, advising, registration for all programs, all of which are reported out to the appropriate offices and individuals.
    1. Recommend changes, identify ways to improve communication, tracking of prospective and incoming students, as well as data management systems.
  2. Direct the day-to day operation and administration within the office, which includes supervision of staff and work-study students as well as staff projects.
  3. Serve as the primary resource and point of contact for students and prospective students.
  4. Consult and work closely with BSW, MSW, and Ph.D. program directors and appropriate committees on policy reviews and processes regarding academic affairs and updating of program handbooks.
  5. Direct and execute outreach plan that includes extensive outbound related to student recruitment and advisement:
    1. Create and facilitate open houses, information sessions, orientation, and advising sessions for SSW monthly and as needed.
    2. Some evening and weekend recruitment hours and attendance at the national professional organization meeting.
  1. Conduct and oversee multiple academic audits throughout each term on students to ensure progress towards degree are met for BSW and MSW.
    1. Monitor and manage grade reports, dismissals, probations, and other means of academic progress towards degree.
  1. Train new adjunct or full-time faculty on academic plans/advising, as well as academic refreshers for current faculty.
  2. Serve the Graduate Student Organization (GSO) Tier 3 student organization advisor
    1. Meet individually with leaders, and as a group for meetings, advise on pressing issues or matters, conduct trainings, as well as assist with operations and point of contact for trustee support staff through the Department of Student Activities.
  1. Create and implement School of Social Work (SSW) school events, academic program meet and greets, and professional development opportunities for students across programs.
  2. Review and complete MSW licensing requests; process including reviewing transcripts and/or field evaluation information, and collaborating with the Office of Registrar.
  3. Manage scholarship committee process and the dissemination of scholarship information to students. Additionally, create the process and evaluation forms for review of applicants, and organize sub-committee’s scholarship reviews and award decisions. 
  4. Conduct annual evaluation and assessments on orientation, information session, open house, and advising session outcomes. Additionally, collect data for convocation and diversity events, as well as professional development events offered through the Office.
  5. Collaborate with University advisors, Offices of Student Services, Dean of Students, and Registrar regarding student courses, concerns, and/or academic updates and events such as commencement.
  6. Create and propose the annual budget for Dean’s approval for the Office; monitor and track expenditures as well as approve funding for student programs.
  7. Manage and maintain active communication through soapbox, social media, targeted emails, and in-person or virtual engagement with students.
  8. Serve as a key liaison to the Graduate School, Dean of Students, Student Activities, Graduate Admissions, Undergraduate Admissions, Transfer Admissions, Office of Registrar (Hartford and Storrs), Alumni/Foundation, Communication, Center for Students with Disabilities, Hartford Undergraduate Student Support Offices, Financial Aid, and Bursar.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in social work or a related field and a minimum of six years of relevant professional experience, including at least two years serving as an advanced/senior team member or working as a project lead.
  • Demonstrates interpersonal skills and experience working with diverse populations, strong leadership capacity, and the ability to work within a complex organization.
  • Demonstrates ability to take initiative on projects.
  • Demonstrates capacity to multi-task (e.g. meet daily responsibilities and events while also responding to unexpected situations) and to provide skillful supervision.
  • Strong verbal and written skills.
  • Ability to work independently and seek supervision as needed.
  • Demonstrates commitment to DEI/Anti-Racism.

PREFERRED QUALIFICATIONS

  • Master’s of social work or related field and five years of higher education or administrative experience.
  • Experience with public speaking.
  • Demonstrates commitment to the mission and goals of social work education and ensures adherence to relevant policies, procedures, and academic program requirements. 
  • Demonstrates the ability to produce and analyze relevant reports and collaborate with student, faculty, university and community groups.
