Junior Research Administrator - R25-17

Description of Duties (This is a brief summary of the hiring department and the duties of the role):

As a member of the Pre-Award Services team in the Office of Sponsored Programs Administration (SPA), the Junior Research Administrator (JRA) will be an active contributor to the Proposals Management, Account Establishment and Management, and Contracts teams, with a primary focus on award management functions. Under the direction of the Associate Director and in collaboration with Pre-Award Services research administration staff, the JRA establishes a productive working relationship with faculty to obtain, review and complete all campus and sponsor documents pertaining to proposals, awards, and award modifications, as well as input data and update SPA business system records to support the initiation and execution of contract and subcontract agreements. The JRA provides guidance and support to faculty, students and staff by interpreting and applying award terms and conditions, processing awards, and seeking sponsor approval when required.

Essential Functions

  • Works closely and collaboratively with University faculty and staff assisting with proposed award modifications to a variety of sponsoring agencies such as federal and state agencies, foundations, and other public Interprets sponsor requirements and guidelines, assists with budget preparation, reviews documentation to be submitted to sponsors for appropriateness and compliance. Reviews internal campus documents for proper eligibility, waiver approvals, assurances of compliance, and identification of potential risks. Liaison between faculty and sponsoring agencies on behalf of the Research Foundation (RF). Reviews award documents, identifies sponsor terms and conditions, and prepares award for set-up in RF Business System. Coordinates with other Research Division staff to work collaboratively to provide excellent professional service to the campus.
  • Participates in the programmatic monitoring of awards, provides guidance to faculty to assure proper stewardship of funds received, works with departmental administrator, and the SPA team throughout the life of a sponsored project. Ensures that Principal Investigators (PIs) submit timely and accurate reports as specified in the award terms and conditions. Provides internal updates and reports on the progress of assignments to the Associate Director as requested.
  • Assists in development, implementation, and communication of SPA and Pre-Award Services standard operating procedures and practices internally and to external constituents. Actively participates in team meetings, system implementation efforts and on-going process improvement. Other duties as assigned.

MinimumQualifications (Both measurable and soft skill requirements):

  • Bachelor’s degree from a college or university accredited by the US Department of Education or an internationally recognized accrediting organization and 2 years of experience in an administrative position; OR Associate’s degree and 4 years of experience in an administrative position; OR High School diploma and 6 years of experience in an administrative position.
  • Experience using Microsoft Office products.
  • Experience using online business systems, such as Oracle Business Applications.
  • Must be self-directed, possess good judgement and problem-solving skills and be comfortable in a fast paced, deadline driven
  • Ability to interact effectively with a diverse constituency and be customer service
  • Demonstrated customer service and continuous improvement
  • Strong written and verbal communication

PREFERRED QUALIFACTIONS

  • Professional experience in higher education, research, contract administration or a related field.
  • Knowledge of regulations that govern federally funded programs research and related areas of regulatory compliance, federal circulars, and associated typical administrative terms and
  • Designation of Certified Research Administrator (CRA) or Certified Pre-Award Administrator (CPRA)
