District Office Receptionist
Minimum Qualification:
- Must possess high school diploma or equivalent; wide range of computer skills and general office training; Associate of Arts degree preferred.
- Friendly, outgoing, and helpful personality.
- Typing skills of 50 wpm.
- Experience with standard office machines such as copier, fax, folder plus computer skills with knowledge of Microsoft office package and Google applications.
- Ability to effectively utilize a multi-line telephone system, directing calls to the appropriate office/school throughout the District.
- Ability to communicate written and orally in Spanish required; Interpreter certification
desired. - Possess effective interpersonal communication skills.
- Be able to work as a team member and respond to the changing needs of the work place.
- Ability to be flexible and function in a calm, efficient, fair and courteous manner with frequent interruptions.
- Exercise careful judgment, diplomacy, discretion, tact and strict confidentiality in the performance of duties and assignments.
- Ability to process all information in a confidential manner.
- Ability to prioritize work and perform job function with minimal supervision.
- Ability to maintain consistent presence at assigned worksite and regularly work hours specified under contract.
Position Responsibilities:
- Represent the district as the first point of contact to callers and visitors to the district; direct visitors to appropriate office(s).
- Answer telephone calls and furnish the desired information or refer calls to appropriate authority.
- Professionally interact with students, staff, and members of the public.
- Comply with all district policies and demonstrate professional conduct.
- Assist with the registration of students, including assistance for non-English speaking families.
- Serve as a liaison between building/district staff and non-English speaking families.
- In absence of office intern, sort and distribute incoming and outgoing mail.
- Process outgoing mail for all buildings utilizing postage meter. Assist building staff with bulk mailings. Assist with incoming and outgoing package preparation. May assist in preparing student mailing labels as needed for district mailings.
- Utilize Skyward/WESPac system to access detailed student and family information, prepare system generated reports and respond accurately to comprehensive requests from administrator.
- Support employment applicants by answering general questions and assist with required personnel documentation including but not limited to I-9, W-4, fingerprint processing, and copying required documentation such as teaching certificates. Verify fingerprint status as needed.
- Collect documentation from employment applicants, staff or visitors and distribute to appropriate office/personnel.
- Maintain primary district web page, including new pages, board agendas, minutes and policies; call schools to obtain student image clearance, create photo layouts and post other appropriate web materials as requested.
- Maintain district YouTube channel; upload videos as requested.
- Provide daily informational memorandum to District Office staff.
- Maintain record of district-wide emergency drills and 911 calls.
- Maintain calendar of district office meeting rooms and web calendar.
- Maintain translation equipment calendar and monitor use; inspect upon return to ensure equipment is in good working condition and sanitized.
- Schedule photocopy and typing/filing projects that allow access to telephone and front desk.
- Print flyers for district events or projects as needed.
- Maintain inventory of current forms and resources in reception lobby.
- Process volunteer applications district-wide through online application process including WSP background checks for volunteer applicants; Assist and provide guidance to building staff on processing and clearance.
- Assist office personnel as requested/approved by supervisor.
Education and/or Experience:
High school diploma or equivalent; Associate of Arts degree preferred. Ability to read, write and speak advanced Spanish required. Interpreter Certificated preferred. Computer skills with knowledge of Microsoft office package and Google applications. Experience with multiple social media platforms including web, YouTube, Facebook, Twitter, and blogs
Language Skills:
Ability to read and comprehend moderate instructions, correspondence and memos in English and Spanish. Ability to write correspondence in English and Spanish. Ability to effectively present information in one-on-one and small group situations in English and Spanish to parents, office staff and the public, in person and on the telephone. Ability to read, write and speak advanced Spanish required.
Mathematical Skills:
Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurements, volume and distance.
Reasoning Ability:
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving few concrete variables in standardized situations.
