DEFINITION
Under general direction, supervises assigned subordinate staff by overseeing and preparing stenographic
recordings of all court proceedings verbatim using stenographic and real-time equipment; provides guidance,
supervision, training and assistance to staff; provides transcripts of court proceedings as requested; reads back
proceeding information as requested by the court; performs related administrative tasks to include managing
the division budget, implements projects, and reviews and approves claim forms; and performs related duties
as assigned.
DISTINGUISHING CHARACTERISTICS
Supervising Court Reporter is the supervisory classification for this series. The incumbent is responsible for
training, scheduling, and evaluating staff; implementing discipline and other supervisory responsibilities as well
as prepares verbatim records and transcripts of court proceedings. The incumbent is compensated separately
for transcripts and copies, which may be prepared after regular court hours. This classification is distinguished
from Court Reporter in that incumbents of the latter class do not have any supervisory or scheduling duties.
ESSENTIAL FUNCTIONS
The following duties are normal for this position. The omission of specific statements of the duties does not
exclude them from the classification if the work is similar, related or a logical assignment for this classification.
Other duties may be required and assigned.
All duties and responsibilities refer to work with both staff and per diem court reporters.
1. Provides direct supervision to assigned subordinate staff; supervises the court reporting staff; trains,
directs and evaluates staff; determines and maintains standards through the effective coordination of
activities.
2. Responds to personnel issues and problems; provides recommendations regarding disciplinary action,
promotions and related personnel administration; implements, updates, interprets and develops
division policies and procedures.
3. Maintains personnel records and related staff documentation; verifies and monitors licensure status;
conducts performance evaluations; interacts with the human resource staff on various issues; approves
and transmits time and attendance information; interacts with and reports to management as needed.
4. Performs required record keeping tasks for the division; prepares logs, records, archives files and related
documents; maintains computer files; stores electronic notes and maintains backup files; prepares and
submits billing and claim forms; manages the electronic notes storage system.
5. Schedules reporters for courtroom coverage; gathers and analyzes workload information; obtains
courtroom proceeding information; reviews and approves leave requests and adjusts schedules
accordingly.
6. Approves expenditures; prepares purchase requisitions; implements project requirements; reviews and
approves claim forms.
7. Manages, organizes, and maintains equipment, facilities and supplies for reporting staff as well as
equipment and supplies needed for transcription requirements.
8. Stenograph record all court proceedings verbatim using stenographic and real-time equipment and
prepares related transcripts; reviews, edits and proofreads transcripts prior to printing.
9. Provides transcripts of court proceedings as requested; reads proceeding information as requested by
the court.
10. Performs related clerical tasks; files transcripts; binds and delivers transcripts; provides electronic form
of transcripts; stores and retrieves stenographic notes; maintains trial and court calendar; orders and
maintains office supplies; prepares time records.
11. Receives and responds to incoming calls and emails; provides information and assistance; works with
Administration to develop and maintain sufficient and accurate lists of available per diem court
reporters.
12. Responds appropriately to situations; follows verbal and written directions, Court Personnel Policies,
Safety Procedures, and Court Code of Ethics.
13. Maintain professional appearance and demeanor.
14. Must work well under pressure, meeting multiple and sometimes conflicting deadlines; must, at all
times, demonstrate cooperative behavior with co-workers, and management.
15. Other duties as assigned.
WORK HOURS
As directed, per Division needs, including overtime.
SUPERVISORY DUTIES
Supervisory duties for Court Reporting Staff.
MINIMUM QUALIFICATIONS
Necessary Employment Standards
Knowledge of:
•General understanding of the Court’s practices and techniques; laws, statutes, local rules and practices
relating to court reporting and transcription
•Real-time reporting knowledge and/or experience
•Appellate court procedures knowledge and/or experience
•Legal, medical and administrative terminology, phraseology, documents and procedures, as well as
courtroom procedures and protocol
Skill/Ability to:
•Coordinate schedules accurately and efficiently for multiple courtrooms and court reporters
•Provide, maintain, and use personal equipment for reporting and transcribing
•Must be able to cover any, and all, types of court proceedings and work past 5:00 p.m., when needed
•Stenograph report at a rate of 200 words per minute minimum
•Be able to sit and record court proceedings for several hours continuously
•Listen and understand conversations of the court
•Effectively communicate - verbal and written - in person, over the telephone and in writing with public,
attorneys, co-workers, supervisors, managers and judicial officers; knowledge of correct English usage,
vocabulary, spelling and punctuation
•Analyze data, interpret directions, procedures and regulations, and develop appropriate responses
•Maintain confidential information in accordance with legal standards and/or other regulations
•Organize and listen; work independently and prioritize work
•Establish and maintain effective working relationships with the public, co-workers, supervisors, judicial
officers, independent contractors and other management; work effectively with and assist individuals
of various ages and diverse cultural backgrounds; deal tactfully and courteously with the public and legal
representatives in providing information about court functions and proceedings
•Be dependable, punctual and have good attendance
•Must successfully complete fingerprinting and Criminal Record Background check
EDUCATION AND EXPERIENCE REQUIRED
Education:
•Educational level equivalent to a high school diploma or GED
Experience:
•A minimum of three (3) years’ experience as a court reporter in a court setting
License, Certification and/or Special Requirements:
•Possession of Certified Shorthand Reporter’s license issued by the Court Reporters Board of California
•Possession and knowledge of real-time transcription computer hardware and software and ability to use
Computer Aided Transcription (CAT) to provide real-time transcription services
•A valid class C California driver’s license required or self-arranged transportation; driver must have an
acceptable driving record; the requirement will be reviewed on a position basis in accordance with ADA
regulations
•Possession of Certified Realtime Reporter (CRR) issued by the NCRA is highly desirable
